DMS integration: Keyloop, Pinewood, CDK, Dragon2000 and Click Dealer

DMS integration connects your dealer management system to your website, apps and marketing tools so stock, customers, vehicles and bookings flow both ways without re-keying. We work with Keyloop, Pinewood, CDK, Dragon2000 and Click Dealer, using vendor APIs where they exist and robust scheduled feeds where they don't.

The DMS is the system of record for a dealer: vehicles in stock, customers, their cars, service history, workshop bookings, invoices. Everything else, the website, the apps, the CRM, the email tool, should read from it and write back to it. Where that connection is missing, staff re-key, and the website advertises cars that were sold yesterday.

What each system exposes differs. Keyloop publishes a developer portal with APIs for vehicle inventory (find, create, update, reserve), customers, customer vehicles, sales leads, service appointment booking, service history and parts ordering, with the caveat that not every endpoint is available on every Keyloop DMS. Pinewood (rebranded Pinewood.AI in 2024) and CDK provide integration routes through partner programmes. Dragon2000's DragonDMS and Click Dealer's DMS are built around stock feeds to advertisers and websites, which we consume directly. For anything else we build against a scheduled CSV or XML export.

The integrations dealers ask for most are stock to website (with images, prices and status), leads from website to DMS, online service booking against real workshop availability, and MOT and service due dates out to the marketing tool for reminders. Each one is scoped with a single source of truth per field and monitored once live, because a silent DMS sync failure costs sales.

Process

How we approach it

  1. Assess the DMS

    We identify your DMS version, which APIs or feeds are enabled and what the vendor requires for partner access. Keyloop and others gate access; we start that conversation first.

  2. Define ownership

    Stock, customers, vehicles, bookings and leads each get a single source of truth and a direction of flow, agreed in writing with your sales and service managers.

  3. Build and test

    Integrations are built against sandbox or a copy of live data, then tested with your awkward cases: demonstrators, part-ex awaiting prep, deleted customers, double bookings.

  4. Cut over

    Manual processes are switched off one at a time as each sync proves itself, with staff shown where to look when something does not appear.

  5. Maintain

    DMS upgrades and API changes are handled under retainer, with alerts on sync failure so nobody finds out from a customer.

Which dealer management systems can you integrate with?

Keyloop, Pinewood, CDK, Dragon2000 and Click Dealer directly, plus any DMS or garage system that can export a scheduled CSV or XML feed. We confirm the exact capabilities of your system and version before quoting.

Does Keyloop have an API?

Yes. Keyloop's developer portal offers APIs for vehicle inventory, customers, customer vehicles, sales leads, service booking, service history, parts ordering and payments. Availability varies by Keyloop DMS product, and partner access is granted by Keyloop.

Can our website take service bookings against the DMS diary?

Where the DMS exposes a booking API, such as Keyloop's Service Appointment Booking, yes. Where it does not, we build a booking system that syncs to the DMS on a schedule and manages availability itself.

What happens if we change DMS?

Because our integrations sit behind our own API layer, switching DMS means rebuilding one connector rather than every integration. We document field mappings so migration is a defined job, not a rediscovery.

Can the DMS feed our MOT and service reminders?

Yes. Customer vehicles and their next MOT and service dates are read from the DMS and pushed to your email or SMS tool, or to an app, so reminders run automatically and stop when the work is booked.
